Needed
  • The Museum needs a fruit tray and a vegetable tray for refreshments for the May 22 Open House. Approximately 50 people are expected. If any individual or group will furnish one or both, please contact the Museum Director.

  • Also, people who will work our Museum booths for at least a one-hour shift at Cedar Rock Country Club “Blues
    Up Close and Personal” on June 11, 3 p.m. to 8 p.m., and “Blackberry Festival” in July (date and hours to be determined.)

The Caldwell Heritage Museum, like so many other non-profit organizations, depends on dedicated volunteers. National Volunteer Week will be observed April 10-16, 2011. At noon on Tuesday, April 12, the Museum will honor all volunteers who have given time in 2010 with a Pizza Party. Each volunteer will be given a certificate; volunteers with 10 or more hours will receive a pin; volunteers with 50 or more hours will receive a free meal at AJ’s Family Steakhouse. Honorees are:

Occasional volunteers needed

Volunteers who cannot work a regular shift due to employment, family obligations, or other responsibilities
may be able to work for special events such as Open House which are usually held in the evenings or on Saturday or
Sunday. Volunteers to be “on call” are needed as well.

Anyone interested should contact the Museum Director, indicating interest. The Museum Director will contact the
individual when there is a need. No volunteer is asked to work alone, until he/she is comfortable with the job.
There are still places available for regular volunteers as well. Anyone wishing to give a set number of hours
each week should notify the Museum Director.

Greeters are needed on Tuesday afternoons and Saturdays.

 Museum Attendance

Museum attendance for the first quarter of 2011: January, 235; February, 202; March, 203. Total first quarter: 640 averaging 213 per month.

Groups visiting: Faithful Followers Sunday School Class, Yadkin Baptist Church, 19; January 5th Sunday, 55; Leadership Caldwell, 20; Hibriten High School Southern Culture Class, 25; “La Chapeau Rouge Madames,” 11; Exchange Students, 33; Sons of Confederate Veterans, 6.

Closed New Year’s Day; closed Jan. 11 for snow.

 Board Highlights

The Board met January 20, 2010. Quorum present.

  • Welcomed new members Wayne Beane and Kathryn Jackson, (Historical Society Rep.)

  • Officers Elected. Chairperson (Mike Gibbons) will appoint standing committees.

  • All reports accepted.

  • Budget was adopted.

  • Jeff Church (Facility Owner Representative) will talk to school system regarding security system, upgrading some wiring, and replacing the front doors.

  • The DVD committee was given permission to plan for Vol. II.

  • Board voted to support the concept of a Furniture Museum and the Sister City, both encouraged by City of Lenoir.

The Board met on March 17, 2010. Quorum present.

  • Minutes approved; treasurer’s report and museum director’s
    report accepted. Judy Beal reported audit returned in good order.

  • Reports from Committees (See “Committee Reports” below in this newsletter).

  • Tabled recommendation for security cameras due to questions about equipment.

  • Discussed golf tournament as a fund raiser and tabled due to lack of people power. Tour of homes still under consideration.

  • DVD Committee given permission to proceed with Vol. II.

  • Ann Gibbons is updating mailing list.

  • Decided on Catawba County Museum as destination for Board field trip.

  • Approved purchase of Past Perfect software upgrade.

  • Decided to have booths at Blues Festival at Cedar Rock Country Club and at Blackberry Festival in downtown Lenoir.

Standing Committees

The Museum Board is divided into several sub-committees. According to the by-laws, the Chairperson of
the Board has the authority to appoint the committees.

Nominating Committee. Duties: Selects and contacts potential board members for the next three-
year term. Also nominates replacement for any vacancies that occur during the year. Helps with the selection
of committee members who are not board members. Appointed: Ed Whitener, Chairperson; Bob Booth, Judy
Beal.

Finance Committee. Duties: Prepares budget. Determines and oversees fundraisers. Helps locate and
write grants. Appointed: Judy Beal, Chairperson; Lynn Martin, Tom Shuford, Betty Buss.

Programming and Displays. Duties: Helps determine appropriate displays (permanent and temporary),
programs, and projects for the Museum. Assists staff with upgrading of displays as needed. Assist the director
in determining appropriate acquisitions and dispositions. Appointed: Andrea Calloway, Chairperson; Kathryn
Jackson, Barbara Watson (Non-board committee member).

Buildings and Grounds. Duties: Cooperates with the Caldwell County School system regarding the
upkeep and improvement of the buildings and grounds. Contracts with workers to do the needed work, but must
have the Board’s approval if the cost of the work is not budgeted. Appointed: Jeff Church, Chairperson, Wayne
Beane, Bob Booth.

Human Resources. Duties: Leads in the selection of the Museum Director, the Museum Assistant,
and other staff as needed. Helps determine the job description for the Director, Assistant, others as needed.
Helps recruit and train volunteers both regular and for special events. Works with staff regarding any personnel
concerns. Appointed: Ed Whitener, Chairperson; Andrea Calloway.

Ad hoc committees may be appointed as needed.

  • A Board member shall chair each committee, but committee members need not be a part of the Board.

  • Committee members, however, should be people who have shown an interest in the Museum.

  • Each committee chairperson needs to report to the Board at each Board meeting the work of his/her committee,
    in order to keep Board members apprised of what is happening, to insure cooperation, and to avoid duplication of
    duties.

  • Committees should meet as often as needed. It is suggested that committees can meet during the alternate
    months when the entire Board is not meeting.

  • The Museum Director shall be an ex-officio member of all committees.

  • The Museum Board Chairperson shall be an ex-officio member of all committees except the Nominating Committee.

  • Publicity will be done by the Museum staff, but each committee needs to keep the staff informed
    regarding things that need publicizing.

  • It is suggested that no Board member be asked to serve on more than one committee except that
    Nominating Committee members may serve on another committee.

  • Currently the DVD committee is the only ad hoc committee, and it is working toward producing a Volume II of the “History of Caldwell County.” The members of this committee are Tom Shuford, Chairperson, Betty Buss, Bob Booth, with ex-officio members John Hawkins, Museum Director, and Mike Gibbons, Board Chairperson.

Committee reports

The DVD Committee met at the Museum on January 27, at 10 a.m.. All members of the committee
were present. They read a portion of the script for Volume II that has been prepared by Mike Gibbons and John
Hawkins. The script has been revised by the writers with the help of Tom Shuford. The meeting concluded
with an interview with Edward Terry for the News-Topic to promote Volume I. Committee agreed to ask
videographer for a quote. The committee will proceed with Volume II if the board approves.

The Buildings and Grounds Committee met at the Museum on Tuesday, February 8, at 10 a.m. All
members of the Committee were present. The group discussed eighteen concerns regarding the building: Doors,
revamping lobby and upstairs restroom, security cameras, minor repairs and improvements. They also discussed
long-term goals: elevator, new heating and a/c system, replacing all windows with energy efficient units.

Jeff Church reported that the school system could work on all exterior doors making them fit better and
weather stripping them. The only cost would be materials which would be nominal and which are included in the
Museum’s budget. He also said the school system can install security cameras with the Museum paying for the
materials only. The Museum is holding some money in escrow that has been designated for security cameras.

Revamping the lobby and the upstairs restroom were discussed but no action taken. Long term goals are
still on the list although not manageable in the immediate future.

The Programming and Displays Committee met February 9 at noon at the Museum. They discussed how
to upgrade the displays to make them Museum quality. Museum Director gave handouts from a workshop he had
attended that gave information on making displays more attractive at minimum cost. They agreed to ask Colin
Foust, a volunteer who has shown interest in displays, to join the committee, and to ask former Board member,
Ann Miller, for assistance. 

The Human Resources Committee met at the Museum on February 16, at 11 a.m. They discussed the
procedure to take place should the Museum Director’s position become vacant. The procedure, which supplements
the Board’s bylaws, will become a part of the Procedures manual, and it does not require a change in bylaws. They
also discussed Volunteers and Volunteer procedures. 

The Finance Committee met on February 24, at 3:30 p.m. at the Museum. The group agreed to investigate
a golf tournament and a tour of homes as possible fund-raisers. The committee discussed various foundations and
groups who might be approached for support. They also discussed possible funding for the DVD project.

Jumping Through Hoops

Why doesn’t the Museum do certain things? Why doesn’t the Museum Director do things immediately when they need to be done? These are questions that go through our minds from time to time. Sometimes it is hard to understand why things plod along like the tortoise when we would rather they moved along at the speed of the hare.

Sometimes the speed at which we can move is determined by the hoops that we have to jump through. And there are several hoops. The first hoop that we think of is always the financial one. The Finance Committee prepares a budget that the Board of Directors approves at the beginning of each year. The committee has to project what they think our donations will be. The first priorities are always the necessities – utilities, administrative expense—the things that are necessary for the day-by-day operation. Non-essential things have to take second place. It would be easy to overextend. Sometimes funds are designated for a particular project that cannot be used for anything else. Jumping through the correct financial hoop is an essential and sometimes a precarious move.

A second hoop is the people hoop. I am sure that you are aware that we have one paid part-time employee (Charles Triplett). Everyone else is a volunteer. Regular volunteers are interviewed and screened prior to coming to work. The employee has a job description, and the volunteers have guidelines that are suggestions for doing their jobs in an effective manner. Both the employee and the volunteers are responsible to the Museum Director for what they do. Some volunteers have special talents while others have limitations. We have to budget the time they can give us and balance it with their skills. Sometimes lack of people-power keeps up from getting things done as timely as we would like.

A third hoop is the Board of Directors. As the Museum Director, I am responsible to the Board, and I have
to stay within the parameters that the Board members set for me. When I do, they support me in the decisions I make. If I don’t--well, I’ve never put them to that test and I don’t plan to test them anytime soon. They are a pleasant
and an agreeable group of men and women who are dedicated to the Museum and its mission. They approach
their obligations in a serious manner. They are usually on the same page, but they are not “Yes men” to either
me or to the Chairperson. When we disagree, we disagree in an agreeable manner. This is a hoop that I am glad
to jump through because it keeps me focused and accountable.

The fourth hoop is the Board’s bylaws. Our non-profit status is granted by the state. There are advantages to being non-profit. It means that donations to the Museum, both financial and in-kind, are tax-deductible. It also means that we are not taxed for the things the Museum owns. But it also means that we have to be accountable. We create our own bylaws, but we are expected to follow those bylaws. I’m a firm believer that if we have a book to go by, we need to go by that book—even if there are times we would rather not. Robert’s Rules of Order is our final authority. The bylaws give me the freedom to do my job and the guidelines to help me do it. It’s an important hoop and it’s a necessary and helpful hoop.

The fifth hoop is transparency. Our books are audited each year and that audit is open for inspection any time during our regular hours. The minutes of our meetings are a matter of public record as well. Our Board meetings are open to anyone who wishes to attend. We cannot turn anyone away. The only time that we can go into Executive session is when we are discussing issues involving our paid personnel. To date no one has ever asked to attend our Board meetings as an observer. If anyone ever does, that person will be welcomed as long as he/she does not act in a disruptive manner. We have nothing to hide. The transparency hoop is an easy one.

So when it seems that things are moving at the tortoise’s pace, just remember the many hoops that have
to be maneuvered. The hare was fast, but he lost at the end. The tortoise went along at a steady pace and you
know the results. Remember the moral to the story: “Slow and steady wins the race.”

December 25, 2011 – Christmas

January 1, 2012

In addition:

  • If the Caldwell County Schools are closed due to inclement weather, the Museum will also be closed.

  •  If the Caldwell County Schools are on a delayed schedule, or if it is a Teacher’s Work Day due to
    weather, the Museum will be open from 10 a.m. until 3 p.m.

  • If the Caldwell County Schools have early dismissal due to weather, the Museum will close also.
